Industrial / flex space
How should a flex property handle lease renewals?
A renewal timeline for flex and small-bay industrial owners: lease abstract, tenant conversation, written offer and the vacancy math.

Start a flex or small-bay renewal from the lease, not the calendar: find the renewal option, notice deadline and rent adjustment clause, then work backward from the earliest date. Talk to the tenant before you send numbers, and get the written offer answered before the notice deadline. Track every offer to a signed amendment or a scheduled move-out.
Abstract each lease first
Pull these terms into one place for every tenant. A notice date buried in a lease nobody reopened can decide a renewal by default.
| Term | Why it matters |
|---|---|
| Lease end date | The last day of the current term. |
| Renewal option | Whether the tenant has a right to renew, and on what terms. |
| Notice deadline | The date by which either side must give notice. It can fall months before the lease end. |
| Rent adjustment clause | Fixed increase, index-based or market reset. |
| Holdover terms | What rent applies if the tenant stays past the end date without signing. |
| Restoration or move-out obligations | What the tenant must remove or repair if they leave. |
| Insurance requirements | The certificate the tenant must keep current. |
A renewal timeline
The dates below are an example for a lease with a 60-day notice deadline, so the offer, the tenant's answer and any required notice all land before day 60. If a lease requires earlier notice, move every step earlier.
| Days before lease end | Owner | What | Output |
|---|---|---|---|
| 150 | Manager | Reread the lease abstract; confirm the notice deadline (day 60 here) | Renewal file opened |
| 120 | Manager | Talk to the tenant about plans and space needs; walk the bay | Tenant intent and bay condition noted |
| 105 | Office | Send the written renewal offer: rent, term, changes and a response date of day 75 | Offer logged |
| 75 | Office | Response due; follow up the same day if there is no answer | Decision recorded |
| 65 | Manager | Give or confirm any notice the lease requires, in the form it requires, before the day 60 deadline | Notice sent and logged |
| 30 | Office | Sign the amendment, or schedule the move-out walkthrough | Signed amendment or walkthrough booked |
| 0 | Manager | Renewal starts, or the bay turns over | Lease record updated |
Renewal checklist
- Lease abstract complete for every tenant (required)
- Notice deadline on the calendar for every lease (required)
- Tenant conversation held before the offer (recommended)
- Bay condition walk done and noted (recommended)
- Written offer sent with a response date before the notice deadline (required)
- Current insurance certificate on file (required if the lease requires one)
- Signed amendment or move-out walkthrough scheduled (required)
- Backfill plan ready if the tenant leaves (recommended)
Example (hypothetical)
A tenant leases a 2,400 square foot bay at $14.00 per square foot per year. That is $33,600 a year, or $2,800 a month.
The owner considers a 3 percent increase at renewal:
- New rate: $14.00 times 1.03 is $14.42 per square foot.
- New annual rent: 2,400 times $14.42 is $34,608, or $2,884 a month.
- Extra rent from the increase: $34,608 minus $33,600 is $1,008 a year.
Now compare the cost if the increase pushes the tenant out and the bay sits empty for 3 months at the new rate: 3 times $2,884 is $8,652, before turnover repairs and leasing time. In this example, one quarter of vacancy costs more than eight years of the increase. The math does not say "never raise rent." It says to talk to the tenant early (day 120 in the timeline above), know your backfill odds, and make the offer on purpose.
Common problems
| Problem | Likely cause | Fix |
|---|---|---|
| Notice deadline missed | Dates kept in the lease, not a calendar | Abstract every lease and calendar the notice deadline |
| Tenant surprised by the offer | No conversation before numbers | Talk with the tenant before the written offer |
| Tenant holds over with no signed terms | No follow-up after the offer | Follow up on the response date and confirm notice before the deadline |
| Bay needs work nobody budgeted | No condition walk before renewal | Walk the bay before the offer and log repair requests |
| Lapsed insurance found at renewal | Expiry never tracked | Record expiry dates and send reminders before them |
| Long vacancy after a move-out | Backfill started at move-out | Start marketing and tours as soon as the tenant says no |
What to track
Track the share of renewals decided before the lease's notice deadline. After that date, the lease's own terms, such as holdover or automatic renewal clauses, may decide the outcome.

Where Propty fits
Propty's industrial / flex page describes preparing renewal offers 60 days before a lease ends, paperwork and insurance-certificate reminders at 30, 14 and 3 days, and rate changes kept inside limits you set. An offer at day 60 would be too late for a lease whose notice deadline is day 60 or earlier, so set renewal timing from each lease's own notice date and confirm in a demo what timing your setup supports. The same page describes 24/7 answering for bay inquiries, tour booking with a confirmation text and a reminder, and an app where tenants pay rent, view their agreement and send repair requests with photos. These descriptions come from Propty's public pages as checked on 2026-10-14. They are not a test of the live product. What is available for a property depends on setup and connected services, so confirm current behavior in a demo before relying on it.
For the repair side of keeping tenants, see how to handle tenant maintenance requests in a flex park. More guides are in flex park answers, or see the industrial / flex demo.
