Monthly parking
How should a parking lot answer monthly parking inquiries?
How parking lots and garages should answer monthly parker calls: what to have ready, what to collect, and when to take a waitlist hold.

Answer price, availability, access hours and entry method first, since those decide whether a monthly parker can use the space. Then collect what you need to hold a space, quote only your posted rates and send the offer and terms in writing. If you are full, take a waitlist hold instead of asking the caller to call back.
The questions callers ask, and what you need ready
| Caller asks | Have this ready |
|---|---|
| "How much is monthly?" | Your posted rate sheet by space type: reserved, unreserved, covered, surface, EV. |
| "Do you have anything open?" | Current availability by space type, not last week's count. |
| "Will my truck or van fit?" | Clearance height for each covered level and the entrance. |
| "When can I get in and out?" | Access hours and what happens outside them. |
| "How do I get in?" | Card, tag, app or code, and how long setup takes. |
| "Is it safe?" | Only facts you can state: lighting, fencing, cameras, attendant hours. |
| "Can my company pay for several spaces?" | Corporate account terms and who signs. |
Reserved or unreserved?
| Space type | What the parker gets | What you must manage |
|---|---|---|
| Reserved | The same marked space at all hours | Enforcement when someone else parks there |
| Unreserved | Any open space in a lot or level | Not selling more permits than the lot can absorb at peak |
| Covered or garage | Weather protection; often a height limit | Clearance questions on every inquiry |
From inquiry to signed parker
| Step | Owner | What | Output |
|---|---|---|---|
| 1. Answer | Office | Rate, availability, hours and access method | Questions answered |
| 2. Qualify | Office | Vehicle height for covered spaces, start date, reserved or unreserved | Inquiry record |
| 3. Offer | Office | Written offer with rate, space type, start date and terms | Offer sent |
| 4. Sign and pay | Parker | Sign the parking agreement and pay the first month | Signed agreement |
| 5. Access | Office | Issue card, tag or code; record the plate | Access active |
| 6. Waitlist | Office | If full, record a waitlist hold with space type and start date | Hold logged |
Monthly parker checklist
- Rate sheet current and by space type (required)
- Availability updated daily (required)
- Clearance heights written down for each covered level (required for garages)
- Access hours and after-hours rules written down (required)
- Signed parking agreement and first payment (required)
- Plate and vehicle recorded (required)
- Waitlist hold offered when full (recommended)
- Corporate account terms written down (optional)
Example (hypothetical)
A garage's covered level has 6 feet 8 inches of clearance. Its posted monthly rates are $185 for a covered reserved space and $95 for an unreserved surface space.
A caller wants covered parking for a full-size van with a roof rack. Asked for the height, he says 7 feet 1 inch. That is 5 inches over the 6 feet 8 inch clearance, so the van does not fit. Instead of a no, the office offers an unreserved surface space at $95 and puts him on the waitlist for a tall-vehicle space if one opens.
The same week, a local office asks for 4 unreserved surface spaces for staff. At the posted rate, that is 4 times $95, or $380 a month, on one corporate agreement with one billing contact. Both inquiries end with a written offer the same day.
Common problems
| Problem | Likely cause | Fix |
|---|---|---|
| Callers hang up after hours | Nobody answers outside attendant hours | Cover calls after hours and text back missed callers |
| Vehicles scrape the entrance | Height never asked | Ask the vehicle height on every covered inquiry |
| Reserved space taken | No enforcement plan | Sign the space and write the enforcement steps into the agreement |
| Lot full at peak, empty at night | Too many unreserved permits sold | Set a cap based on your counted peak occupancy |
| Lost demand when full | No waitlist | Take a waitlist hold with space type and start date |
| Quoted rate does not match the rate sheet | Staff quoting from memory | Quote only from the posted rate sheet |
What to track
Track the share of monthly parking inquiries that end in a signed agreement or a waitlist hold. A "call back later" counts as a loss.
Where Propty fits
Propty's monthly parking page describes answering parker calls 24/7 with an approved greeting, quoting only from your rate sheet, texting back missed callers, waitlist holds, rate changes inside limits you set, and an app where parkers pay and view their agreement. Its What you get page describes secure payment links and supported phone-keypad payments on the call. These descriptions come from Propty's public pages as checked on 2026-10-14. They are not a test of the live product. What is available for a property depends on setup and connected services, so confirm current behavior in a demo before relying on it.
