Why do after-hours calls matter for RV storage?
RV owners often shop in the evening and on weekends, when they are planning a trip, getting back from one, or realizing their driveway or HOA will not allow the rig. Those are exactly the hours when a small facility's office is closed. A caller who reaches voicemail usually calls the next facility that comes up in search, so an unanswered evening call is often a lost rental rather than a delayed one.
What are the four steps for handling an after-hours call?
- Answer and identify: pick up live, find out whether the caller is a new prospect, a current tenant, or someone with an urgent problem.
- Answer the real question: RV callers want to know whether a space fits their vehicle's length and height, whether it is covered, enclosed or open, how gate access works after hours, and what it costs per month. Answer from your actual availability and rates.
- Take the next step on the call: hold a reservation, book a visit, or take a payment while the caller is still on the line.
- Hand off what is left: capture the caller's name, number, vehicle details and request, and route it to the right person with a clear summary.
How fast should you call a new inquiry back?
If a new inquiry cannot be completed on the call, call back the same evening, or as soon as the next person is available. A prospect comparing facilities tonight will often have booked somewhere by morning. Next-business-day callbacks are fine only for clearly non-urgent routine items from existing tenants, such as a billing question or a request to change a payment date.
What about urgent calls from current tenants?
Gate failures, a tenant locked in or out after hours, damage to a stored vehicle, or a security concern should go straight to whoever is on call. Keep a short written list of what counts as urgent and a named on-call person for every night and weekend, so the person answering never has to guess.
How do you know your after-hours coverage is working?
Look at your own call logs. Check how many after-hours calls were answered live, how many new inquiries turned into a reservation or a booked visit, and how many callbacks happened the same evening. Set targets from your own numbers rather than industry averages you cannot verify.
